Data Deletion Policy

At Hermitech, we respect your privacy and your right to control your personal data. If you have created an account with us, subscribed to our newsletter, or made a purchase, you have the right to request the deletion of your personal information from our systems.

1. How to Request Data Deletion

To request the permanent deletion of your personal data, please send an email to our support team with the subject line “Data Deletion Request”:

  • Information to Include: Please email us from the address associated with your Hermitech account or order. Include your full name and, if applicable, a recent order number so we can verify your identity.

2. What Happens When You Request Deletion?

Once we receive and verify your request, we will initiate the process to delete your personal information from our active databases within 30 days. This includes:

  • Deleting your customer account and login credentials.
  • Removing you from all email marketing and newsletter lists.
  • Erasing your browsing history and saved preferences on our website.

3. Data We Must Retain (Exceptions)

Please note that we may not be able to delete all of your data immediately if it is required for legal, security, or accounting purposes. We are required by law to retain certain information, including:

  • Transaction Records: Details of your purchases (invoices, receipts, and payment logs) must be kept for financial reporting and tax compliance with the Kenya Revenue Authority (KRA).
  • Fraud Prevention: Information linked to fraudulent activity, chargebacks, or security threats.
  • Active Orders: If you have an unfulfilled order or an ongoing return/refund process, we will delay the deletion until the transaction is fully resolved.

4. Third-Party Services

While we will delete your data from our direct servers, please be aware that residual data may remain temporarily in secure, encrypted backups. We will also notify our third-party service providers (such as our email marketing platform or delivery couriers) to remove your personal information from their active systems.
